These Terms & Conditions (“Terms”) govern the access to and use of the website, services, travel products, and booking systems provided by Finntation (“Finntation”, “Company”, “we”, “our”, or “us”).
By accessing our website, making an inquiry, submitting a booking request, or purchasing any travel-related services from Finntation, you acknowledge that you have read, understood, and agreed to be legally bound by these Terms.
If you do not agree with these Terms, you must refrain from using our website and services.
1. Our Services
Finntation provides destination management and travel-related services in Finland, Norway, Iceland, and other Nordic regions, including but not limited to:
- Guided tours and holiday packages
- Educational and cultural programs
- Arctic and winter activities
- Accommodation arrangements
- Transportation and transfer services
- Corporate and incentive travel
- Customized itineraries and private experiences
- Third-party activity reservations
Certain services may be operated directly by Finntation, while others may be delivered by independent suppliers, subcontractors, transportation operators, hotels, or activity providers.
2. Booking Conditions
2.1 Booking Confirmation
Booking can be done via our website and the sales channels (Fliggy, Trip/Ctrip.com, GYG) we use. A booking shall only be deemed confirmed when:
- The required payment or deposit has been received by Finntation; and
- A written booking confirmation has been issued by Finntation.
Finntation reserves the right to decline any booking request at its sole discretion.
2.2 Unauthorized Third-Party Bookings
To minimize the risk of fraudulent transactions and unauthorized bookings, except for the customer him/herself, we do not accept any private reservation requests made through individuals or entities that are not officially contracted agents or authorized partners of Finntation.
Should any unauthorized third-party booking activity be identified, Finntation reserves the right to immediately cancel the reservation without refund. Any resulting losses, costs, or liabilities shall be borne solely by the customer and/or the unauthorized intermediary. Furthermore, the responsible party may be held liable for any damages or financial losses incurred by Finntation arising from such unauthorized arrangements.
2.3 Payment Terms
Unless otherwise agreed in writing:
- A deposit may be required at the time of reservation.
- Final payment must be completed before the deadline stated in the invoice or booking confirmation.
- Failure to complete payment by the due date may result in automatic cancellation without liability.
All bank charges, transfer fees, and currency conversion costs are the responsibility of the customer.
2.4 Pricing & Currency
All prices are quoted in EUR unless otherwise specified.
Prices are based on rates, taxes, fuel costs, exchange rates, and supplier pricing applicable at the time of quotation.
Finntation reserves the right to adjust pricing prior to confirmation due to:
- Currency fluctuations
- Government taxes or regulatory changes
- Fuel surcharges
- Supplier cost increases
- Extraordinary operational circumstances
3. Cancellation & Refund Policy
3.1 Cancellation by Customer
All cancellation requests must be submitted in writing. To complete your refund, we require a receipt of purchase.
Unless otherwise specified in the booking confirmation or product-specific terms:
- 9-31 days prior to departure: refundable less administrative charges and non-recoverable supplier costs
- 4–8 days prior to departure: 50% refund may apply
- Less than 3 days prior to departure: non-refundable
- No-show, unused services, or early termination of travel: non-refundable
Customized itineraries, peak-season programs, charter arrangements, and special event bookings may be subject to separate cancellation terms.
3.2 Third-Party Supplier Policies
Hotels, airlines, rail operators, ferry companies, activity providers, and other third-party suppliers may apply independent cancellation and amendment policies.
Finntation shall not be liable for supplier-imposed penalties, schedule changes, or operational disruptions.
3.3 Cancellation by Finntation
Finntation reserves the right to cancel or modify services due to operational requirements, safety considerations, insufficient participation, or events beyond reasonable control. In such cases, Finntation will make reasonable efforts to provide suitable alternatives or refunds limited to recoverable amounts.
In activities involving animals, our priority is their welfare. Should the physical condition of the animals not be suitable for the activity, we reserve the right to modify/delay or cancel the activity. If cancelled, a refund will be issued in full.
3.4 Late or Missing Refunds
If you have not yet received your refund, please first verify that it has not already been credited to your bank account. If the refund is not visible, we recommend contacting your credit card provider, as it may take several business days for the refund to be processed and officially posted to your account.
You may also wish to contact your bank, as additional processing time can sometimes occur before refunded funds become available.
If you have completed the above steps and still have not received your refund, please contact us at sales@finntation.com, and we will be happy to assist you.
4. Force Majeure
Finntation shall not be held liable for any delay, cancellation, alteration, loss, damage, injury, or failure in performance resulting from circumstances beyond its reasonable control, including but not limited to:
- Severe weather conditions
- Natural disasters
- Pandemics or public health emergencies
- Government actions or restrictions
- Border closures or immigration decisions
- Transportation disruptions
- Strikes or labor disputes
- Political unrest or security risks
- Supplier insolvency
Under such circumstances, refunds and compensation shall be strictly limited to amounts recoverable from suppliers.
Any delays of flight, train, boat or bus transport beyond Finntation’s influence. We cannot be held liable for such delays or cancellations, please contact your travel insurance issuer directly.
5. Travel Insurance
Comprehensive travel insurance is strongly recommended for all travelers.
Insurance coverage should include, where applicable:
- Medical expenses and emergency assistance
- Trip cancellation or interruption
- Personal belongings and baggage
- Winter and adventure activities
- Personal liability
- Flight delays and transportation disruptions
Travelers are solely responsible for ensuring adequate insurance coverage for all booked activities.
6. Travel Documents & Entry Requirements
Travelers are fully responsible for obtaining and carrying all required travel documentation, including:
- Valid passports
- Visas and residence permits
- Health certificates or vaccination documents
- Customs and immigration compliance documents
Finntation accepts no responsibility for denied boarding, refused entry, missed departures, or losses arising from incomplete or invalid documentation.
7. Health, Safety & Participation
Certain activities offered by Finntation may involve inherent risks associated with Arctic, outdoor, or adventure travel.
Participants are responsible for ensuring that they are physically and medically fit to participate in booked activities.
Travelers must:
- Follow all safety instructions and local regulations
- Comply with guide and operator instructions at all times
- Use provided equipment responsibly
- Inform Finntation in advance of any relevant medical conditions, allergies, dietary restrictions, or mobility limitations
Finntation reserves the right to deny participation or remove individuals from activities where behavior is considered unsafe, disruptive, or unsuitable.
In the event of illness or medical issues during the trip, the customer is responsible for contacting their own travel insurance provider directly. Finntation does not provide medical personnel on tours or during travel services.
Should medical attention, a doctor’s visit, or hospitalization be required, tour leaders and guides are generally not permitted to accompany customers into hospitals or medical facilities, except where required for essential assistance or local operational coordination.
About illness cancellation, we will refund 80% of the whole price. A medical certificate have to be show to us within two working days from the cancellation date. All cancellations to be received by e-mail (sales@finntation.com) within the office hours in Finland (Mon-Fri at 9-16, GMT +2).
8. Liability Limitation
To the fullest extent permitted under applicable law:
- Finntation acts as an intermediary for various third-party suppliers.
- Finntation shall not be liable for acts, omissions, delays, accidents, injuries, losses, or damages caused by third-party service providers.
- Finntation shall not be liable for indirect, incidental, consequential, or punitive damages.
- Any liability of Finntation shall be limited to the amount paid for the affected service.
Nothing in these Terms excludes statutory rights under applicable consumer protection legislation.
9. Changes to Itineraries & Services
Finntation reserves the right to modify itineraries, schedules, accommodations, transportation, routes, or activities where reasonably necessary due to:
- Weather conditions
- Operational requirements
- Safety concerns
- Supplier availability
- Force majeure events
Where possible, alternative arrangements of comparable standard will be provided. If we make a major change to a booking, we will inform you as soon as reasonably possible. You will be able to choose whether to accept the changes or cancel the booking and receive a full refund.
10. Intellectual Property Rights
All website content and materials, including but not limited to:
- Logos and branding
- Text and written content
- Photographs and videos
- Tour descriptions and itineraries
- Marketing materials and designs
are the intellectual property of Finntation or its licensors and are protected under applicable copyright, trademark, and intellectual property laws.
No material may be copied, reproduced, distributed, modified, or commercially exploited without prior written consent.
11. Website Use
Users agree not to:
- Use the website unlawfully or fraudulently
- Submit inaccurate or misleading information
- Interfere with website functionality or security
- Upload malicious software or harmful content
- Infringe intellectual property rights
- Attempt unauthorized access to systems or data
Finntation reserves the right to restrict or terminate access for violations of these Terms.
12. Privacy & Data Protection
Personal data is processed in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR) of the European Union (EU).

13. Photography & Marketing Materials
During tours, programs, or events, photographs and videos may occasionally be captured for promotional and marketing purposes.
Travelers who do not wish to appear in such materials must notify Finntation in writing prior to the commencement of services.
14. Complaints & Claims
Any issues or complaints should be reported immediately during the trip or service period to allow Finntation a reasonable opportunity to resolve the matter.
Formal complaints must be submitted in writing within fourteen (14) days following the completion of services.
15. Governing Law & Jurisdiction
These Terms shall be governed by and interpreted in accordance with the laws of Finland.
Any dispute arising out of or relating to these Terms shall be subject to the exclusive jurisdiction of the courts of Finland, unless otherwise required by mandatory consumer protection legislation.
16. Severability
Should any provision of these Terms be held invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect.
17. Amendments
Finntation reserves the right to amend or update these Terms at any time without prior notice. The latest version will always be published on the official website.
Continued use of the website or services following any updates constitutes acceptance of the revised Terms.
